This page covers the web app at keryx.samuraicode.ai — signing in, building out a service, keeping the songs and media libraries up to date, and following along on the Live page — plus how your changes make their way to the church Mac.

#Signing in

/login offers two ways in.

  1. Sign in with Planning Center — the primary path. It only lets in people who belong to your church's Planning Center organization. See Planning Center for how this is set up.
  2. Email me a code — for accounts that already exist. Enter your email, then the 6-digit code sent to it (or tap the link in that email).

Note: Open email sign-up is off on purpose. If you don't have an account yet, use "Sign in with Planning Center," or ask an admin to invite you.

#The dashboard

Signed in, the home page (Services) lists every service in two groups:

  • Upcoming — soonest first.
  • Past — most recent first, with a link to show all if there are more than 8.

Each row shows the service title, date, and status (draft, ready, or done).

#Creating a service

Type a name into the New service… field at the top of the dashboard and click + New. It's created as a draft dated today — open it to set the real date and add items.

Tip: If the plan already exists in Planning Center, importing it is usually faster than starting blank. See Planning Center.

#The service header

Open a service and click its title to edit:

Field Notes
Title
Date
Start time Used to calculate the clock times on the run sheet
Status Draft, Ready, or Done
Notes Free text for the team

Two buttons sit next to the header:

  • Duplicate — copies this service and all its items to next week (same title, start time, and notes; status resets to draft). You're taken straight to the new copy.
  • Delete — removes the service. A toast with an Undo button appears immediately after, in case it was a mistake.

#Adding items to a service

The Add to Service panel at the bottom of a service offers four item types:

Button What it adds
+ Song Search the songs library and pick one
+ Scripture Type a reference (e.g. John 3:16); click Get text to auto-fill the passage and version, or paste your own
+ Media Search files already in the media library
+ Blank A placeholder slide — give it a title (defaults to "Blank")

Announcements aren't added here. They come from the church's Google Slides deck and are pinned to the top of every service on the Mac. See Media → Announcements.

Scripture lookup also runs automatically when you tab out of the reference field, if you haven't typed passage text yourself.

Note: A media file still shows a processing badge and can't be added until the desktop has generated its slides. See Media on the web below.

#Setting a planned length

Click the time chip on the right of any item (shows + time until set) to give it a planned duration — 4:30 or a bare number of minutes. This feeds the total runtime shown above the item list and the times on the run sheet.

#Arranging a song's verses and choruses

If a song has lyrics, its item shows the arrangement (e.g. V1 → C → V2 → C) — tap it to drag section chips into a different order for just this service, without changing the song's own default arrangement.

#Reordering items

Drag an item by its handle on the left, or use the ▲ / ▼ buttons, to move it up or down. Removing an item (✕) also shows an Undo toast.

#The songs library on the web

Songs lists every song, searchable by title or author. + New Song opens a form for title, author, copyright, CCLI number, key, tempo, time signature, lyrics, default arrangement, tags, and notes — lyrics use [Verse 1], [Chorus] section markers, the same ones that become slides and can be re-arranged per service.

Note: See Songs for how lyrics and arrangements are used when presenting.

#Media on the web

Media shows every file in folders down the left side, with Upload in the main pane.

  • Web uploads accept images (PNG, JPEG, WEBP, GIF) and PDFs, up to 100 MB.
  • Videos aren't uploaded on the web — import those on the desktop, which transcodes formats a browser can't play.
  • Files can be renamed, moved between folders, or deleted (with undo) from the grid.

#The "processing" state

A PDF you upload on the web needs its individual page slides generated before it can be used in a service — that work happens on the desktop, not in the browser. Until the next sync pulls it down and the desktop processes it, the file shows a processing badge and can't be added to a service yet. Once it's synced back up with its page count, the badge clears.

#The Live page

Live (in the top nav) is a phone-friendly, dark-themed follow-along view of whatever the desktop is currently presenting — current item, slide text, slide count, and what's coming up next. It updates in real time while the Mac is presenting, and shows "Nothing is live right now" the rest of the time. If the desktop stops responding for more than about 90 seconds, the page stops trusting the frozen state and pauses itself rather than show stale text.

#Reports

Reports → CCLI Usage Report (/reports/ccli) lists every song used in services over a date range, with use counts and the dates each was used — everything CCLI reporting needs. Songs missing a CCLI number are called out so you can go fill them in on the song's page. Download CSV exports the same data.

#Printing

Every service has a Run sheet (linked from the top of the service page) — a clean, printable order of service with item numbers, clock times (if a start time is set), type, and planned length, plus a running total. Use Print / Save PDF on the run sheet or the CCLI report to print or save either as a PDF; both pages drop their screen-only buttons in print.

#How changes reach the church Mac

The web app and the desktop app share one set of data through the cloud — there's no separate "publish" step. The desktop checks in with the cloud roughly every 60 seconds, in both directions: whichever side has the newer edit for a given service, song, or file wins, so a change made on the web (or by someone else's browser) shows up on the church Mac within about a minute, and vice versa. Deletions carry across the same way. Media file bytes travel too — uploaded on the web, downloaded to the Mac on the next sync (and the reverse for anything imported on the desktop).

Tip: Both the web app and the desktop refresh themselves live when the other side writes — you don't need to reload the page to see a sync land.

#Podcast on the web

The public show page and its settings live on the web; trimming and publishing a recording from a service happens on the desktop — see Publishing for that half.

  • /podcast is the public show page — artwork, title, description, author, a copy-pasteable feed URL, and the episode list with an inline audio player. This is what Apple's "website" link on your podcast points at.
  • Podcast Episodes (/podcast/episodes) lists every published episode. Each can be Edited (title and description) or Hide/Unhided from the feed without deleting it.
  • Podcast Settings (/podcast/settings) holds everything the feed needs before Apple Podcasts or Spotify will accept it: show title, subtitle, description, author name, contact email, category, language, website, and square artwork (JPG or PNG). A banner at the top tells you whether the feed is complete yet.
  • The same settings page has a Cloudflare R2 API token field under "Desktop uploads" — this is what lets the desktop app upload trimmed episodes to the feed. It's entered once here; the church Mac never needs it typed in locally.
